University Departments

The Student Center Complex (SCC) is the place on campus for events, meetings, retail, and dining. We provide space for members of the University of Miami community to study, socialize, eat, host events, attend meetings, celebrate traditions, and engage in campus life. University departments may make reservations for their meetings, conferences, celebrations, and more. The SCC does not provide space for classroom activities, study groups, or other academic gatherings more appropriate for a classroom setting. Because we are a student center, student organizations receive priority in making reservation requests.

  • How do I book a space at the SCC?

    Request a Reservation

    • Visit ecms.miami.edu
    • Click “Sign In” and log in with your CaneID and password
    • Select the template named “Book Department Event at Student Center Complex” and press “Book now”
    • Select the desired Date and Time, then press the “Search” button
    • A list of all spaces (not just the ones available) will appear
    • Select the "+" to add rooms to the request and press "Next Step"
    • Next, input all of the service details and press "Next Step"
    • Input all of the event details
    • When you finish, press the “Create Reservation” button
    • Once complete, the webpage will display a tentative reservation
    • You will receive an email from the SCC Events and Reservations team confirming your event.
    • Please wait until you receive a confirmation to advertise your event.

  • How do I make a reservation for recurring dates?

    • Start by putting in the first date
    • Navigate to the top left-hand side of the page and click on “Recurrence”
    • Then click on “Repeats” and select “Random”
    • Then you can click on the rest of the dates you would like to include in the reservation

  • How do I reserve a location to display a banner?

    University departments may request to display a banner to promote their one-time events. For a full description of the SCC’s banner policies, please refer to the “Banners” section in the SCC’s Policies and Procedures.

  • How do I reserve the University Foote Green’s walkway to display stake signs?

    University Departments may request to display stake signs. For a full description of the SCC’s stake sign policies, please refer to the “Stakes” section in the SCC’s Policies and Procedures.

  • SCC Policies and Procedures

    Review the complete SCC Policies and Procedures, including information about Certificate of Liability Insurance (COI) and the University's Solicitation policy.

  • Peak Hours Policy

    The priority for space is for registered student organizations that are approved to make reservations. SCC spaces during peak hours are exclusively reserved for registered student organizations. Peak hours are in the late afternoon Sunday through Thursday during the academic calendar.

  • Amplified Sound Policy

    Amplified sound is only permitted for speeches and announcements. Amplified sound is permitted on the Rock Plaza or Foote Green Monday through Thursday from 9:05 p.m. to 10:45 p.m., Friday and Saturday from 6 p.m. to 11:45 p.m., and Sunday from 11 a.m. to 10:45 p.m.

  • Food

    Events scheduled at the SCC that provide or sell food shall adhere to policies consistent with state and county regulations concerning food handling and preparation. In particular, barbecues and other events involving food cooking and/or preparation at the SCC must be conducted by a University-approved licensed caterer. Prepared or ready-to-eat food brought onto campus for events at the SCC shall be produced in a licensed food service establishment.

    If a caterer requires the use of the Servery, a Servery Kitchen Agreement must be signed by both the caterer and an SCC Staff Member upon arrival and departure.

  • Space Reservation Costs

    A 50% non-refundable deposit must be approved in Workday within seven (7) days of the Internal Service Delivery (ISD) being submitted in order to secure the reservation. Failure to submit a deposit will result in a cancellation of the reservation.

    University departments or business units using the SCC for UM business, with appropriate authorization, must provide a UM account number to which all charges associated with usage may be billed. In order for the event to be considered a department event, the department must be able to show that the majority of attendees (a minimum of 50% + 1) are University of Miami employees and/or students.

  • Extended Hours Charge

    Reservations that require extended hours outside of the SCC’s normal business operating hours will incur a charge of $100 per hour. The SCC Reservations Office cannot apply a partial charge of that $100. Note that building hours may change, depending on the time of year, and may affect when this fee is applied.

  • Other Charges

    The SCC Reservations Office will evaluate all reservation requests to determine what additional services and equipment will be required to ensure the safety and security of UM students, staff, faculty, and guests. The SCC reserves the right to require that sponsoring organizations provide and pay for security and cleanup or assume responsibility for other designated expenses.

    Depending on the event, the sponsoring department may incur an extra cost, such as:

    • Parking on campus, valet service, shuttle bus service, etc.
    • Public Safety for any security coverage required, officers, special equipment, etc.
    • Custodians for cleanup services, trucking or transportation, heavy equipment use, etc.
    • IT/Telecommunications, including phone lines, data, etc.
    • Specialized AV Technical Support – please refer to the AV & Technology section for details.

  • Setup and/or Breakdown

    Events requiring setup and/or breakdown that needs additional staff, staff time, or equipment outside of normal hours of operation will generate a fee at the discretion of the SCC Reservations Office and require at least two (2) weeks’ notice.

  • Preferred Vendors

    We are pleased to offer a list of SCC Preferred Caterers.  If you select a preferred caterer, neither a COI nor liquor license is required as it is already on file with the University. If you select a caterer that is not on the preferred list, we must receive a COI and liquor license (if alcohol is being served at your event) at least two weeks prior to the event date. A walkthrough of the facility is required with caterers not on the preferred list in advance of the event date, in order to familiarize them with our facility and procedures.

    Please be aware that these groups are not directly affiliated with the Student Center Complex and must be contacted individually for your event.

  • Vendor Requirements & Expectations

    Vendors not already vendorized with the University of Miami will require to provide an up-to-date Certificate of Insurance (COI) to the SCC Reservations Office. New vendors will also be required to participate in a walkthrough with the SCC staff.

    COI Requirements: A Certificate of Insurance (COI) is required from all external vendors and is to be provided to the SCC Reservations Office. All approved vendors have these available at your request.
